Privacy Policy

DealerDocs ("DealerDocs", "we", "us") provides a mobile workflow and supporting website that help used-vehicle dealers, brokers and sellers in India create and organize vehicle sale agreement documents. This page explains what information we handle and why. It is written in plain language; a finalized legal version will accompany public launch.

1. Who we are

DealerDocs is operated by [Legal operating entity name — to be added before launch], [registered address — to be added], India. Contact: contact@dealerdocsapp.com. We will publish the registered business name, address and any applicable registration details here before enabling search indexing.

2. Information we collect

  • Account & identity: mobile phone number (for OTP sign-in), your name, role (dealer / broker / individual) and firm name where you provide it.
  • Agreement data you enter: buyer, seller, vehicle, payment and delivery details you add to create a document. This is business data you control.
  • Contact / launch-update form: name, email, phone, business name, city, business type and message when you submit the form.
  • Verification data (only if you use a verification feature): vehicle (RC) details, and Aadhaar verification performed only through the official consent-based process. We store masked results only — we do not store full Aadhaar numbers, and the raw document image used for on-device scanning is not persisted on our servers.
  • Technical data: basic device/app information needed to operate and secure the service. Website analytics are OFF by default and only run if an analytics ID is configured later.

3. How we use information

  • To create, preview, seal and share the documents you request.
  • To sign in and secure your account.
  • To respond to launch-update and support requests.
  • To operate optional features you choose (verification, e-signing, payments).
  • To protect the service against abuse and meet legal obligations.

4. Service providers we use

We use trusted processors to run specific features. Each receives only the data needed for its function:

  • Google Firebase — authentication, database and file storage.
  • Google Gemini — on-request document scanning (OCR) to help auto-fill fields.
  • Razorpay — payment processing for credit purchases.
  • Zoho Sign — electronic signing and e-stamp services where you choose them.
  • Surepass — vehicle/identity verification where you choose it (identity verification is consent-based).
  • Email/SMTP provider — to deliver contact-form messages.

These providers process data under their own terms. We do not sell your personal information.

5. Data retention

We keep account and agreement records for as long as your account is active or as needed to provide the service. Contact/launch-update submissions are kept while we follow up and for a reasonable period afterward. Verification results are stored masked. A detailed retention schedule will be published in the finalized policy before launch.

6. Security

Data is transmitted over encrypted connections (HTTPS). Sensitive credentials are held server-side only and are never embedded in the app. We apply access controls and standard safeguards. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Your choices

You can request access to, correction of, or deletion of your personal information by emailing contact@dealerdocsapp.com. Some records may be retained where required for legal or legitimate business reasons.

8. Children

DealerDocs is intended for business use by adults and is not directed to children.

9. Changes

We may update this policy. Material changes will be reflected by the "last updated" date above and, where appropriate, communicated to users.

DealerDocs helps users create and organize vehicle sale agreement documents. It does not replace RTO ownership transfer, legal advice, or any government process. Official RTO ownership transfer remains separate, and requirements may vary by state/RTO.
